AI receptionist

Every call answered. Even after hours.

A phone receptionist that answers your business line in English or Mandarin, books appointments, takes after-sales details, and puts urgent callers through to your team. Every call lands in your CRM and your team chat. Melbourne-based, working with small businesses Australia-wide.

What it does

A front desk that never misses the phone

Built around how your business already works, with your hours, your prices and your rules.

Answers every call, day and night

It picks up straight away, says it is your virtual assistant and that the call is recorded, and helps from the first sentence. No hold music, no voicemail.

English or Mandarin

It greets callers in both and answers in whichever language they speak. When a caller is finding English hard, it offers Mandarin mid-call.

Books appointments on the call

It offers real free times from your calendar, books the one the caller picks, and can move or cancel a booking they already have. A confirmation text follows.

Takes after-sales details

For an existing customer with a problem it takes the details one question at a time: name, address or suburb, what went wrong, and how urgent it is.

Transfers when it should

In your hours, a caller who asks for a person, or has an urgent problem, is put through. Your team hears who is calling and why before taking it. After hours, the caller is told someone will call back.

Every call on record

Each call lands in your CRM with the recording, the transcript and a short summary in English and Chinese, and your team gets a text and a notice in the work chat they already use.

Stays inside your rules

It says what you would say, and nothing more

A receptionist that makes things up is worse than none. So it works from what you give it, and anything it cannot answer becomes a call back for your team.

  • It only says the prices and offers you approve, word for word, and never estimates a quote.
  • It never promises a date or a timeframe you have not given it.
  • It never pretends to be a person. Asked, it says it is a virtual assistant.
  • You decide when it transfers, and to whom, and in which hours.

Questions

Before you ask

Will callers know they are talking to AI?

Yes. It introduces itself as your virtual assistant and says the call is recorded. If a caller asks for a person during your hours, it puts them through.

What happens after hours?

Nobody is transferred. The caller is told plainly that the team is not available right now and someone will call them back, and the receptionist makes sure it has their name and number. Your team gets a text and a notice straight after the call.

Can it speak Mandarin?

Yes. It greets every caller in English and Mandarin and replies in the language the caller uses. It also offers Mandarin when a caller is struggling in English.

Will it make up prices or promises?

No. It can only say the prices and offers you approve, exactly as written, and it never estimates a quote or promises a date. Anything it cannot answer becomes a call back for your team.

Do I need an AI receptionist, or is missed-call text-back enough?

If you miss a handful of calls a week, missed-call text-back usually catches most of them for a lot less. A receptionist earns its place when the phone is your front door: a showroom, a clinic, or a trade with after-sales calls.

What does it cost?

It is quoted after a free 30-minute audit, because it depends on your call volume and what it connects to. The phone line and call minutes have a running cost, which we work out with you before anything is built.

Missing a few calls a week rather than dozens? Missed-call text-back may be all you need.
