Follow-ups are the part of running a trade business that nobody warned you about. They eat your time, they're easy to forget, and they don't require a human — they require a system.

Here's the three-step plan we use to fix that for Melbourne tradies.

  • Before an appointment → A reminder with the time and address
  • After an invoice is sent → A gentle payment reminder if it's been 7 days

The key is keeping the language natural. Use the client's name, reference their job, keep it short. Automated doesn't have to mean robotic — and most clients won't even know it's automated.

Step 3: Connect Scheduling and Invoicing

The final step ties everything together.

When a client books a time slot, the system sends a confirmation and a calendar invite to both of you. When the job is done, it triggers an invoice — and then a follow-up if payment hasn't arrived by the due date.

This eliminates the back-and-forth and the awkward "just checking on that invoice" conversations. Late payments drop. Admin time drops. You stay on the tools.
